Microsoft is retiring Restricted SharePoint Search. Since 31 July 2026 new activation has been blocked. Anyone planning a Copilot rollout using older checklists should review the proposed safeguards.

What has changed.

The current vendor documentation marks the feature as being retired and points to alternatives including Restricted Content Discovery. This does not mean that every existing configuration or all Copilot features were switched off on that date. Source checked on 15 October 2026; the activation restriction is already in force.

Restricted SharePoint Search was intended as a temporary limitation on organisation-wide search. It does not change SharePoint permissions. It was therefore never a lasting substitute for appropriate access rights.

Which measures to review now.

  • Discoverability: Restricted Content Discovery can exclude selected SharePoint sites from certain organisation-wide search and Copilot discovery scenarios. Existing permissions remain in place; direct access and exceptions need separate consideration.
  • Actual access: Review effective user and group permissions, together with suitable access restrictions at the site or source.
  • Governance: Assign owners for confidential repositories, correct overly broad sharing and assess suitable classification, DLP and auditing features.

What this means for a pilot already under way.

An existing configuration should not be switched off without preparation simply because of the announcement. First establish its current effect, which sources are involved and which new control should meet the same requirements. After the change, test with both authorised and unauthorised accounts.

DAXS can support this review as part of a controlled AI rollout. The new AI security and access permissions guide explains the difference between limited discoverability and effective access protection.
